What is an AI assistant?

An AI assistant is software that answers questions in everyday language using a language model, often drawing on an organization’s documents.

An AI assistant receives a question in everyday language, looks for the answer in the material it has been given (website pages, FAQs, guides, product sheets) and puts it into its own words using a language model. Unlike a scripted chatbot, it understands questions nobody planned for and can cite the document behind its answer.

How it works in practice

Take a property management company in Brussels. On a Sunday evening, a tenant writes: “Water is leaking under the sink. What should I do?” The assistant finds the section on leaks in the tenant guide, advises turning off the stopcock, then asks for the address, floor and level of urgency. On Monday morning, the team finds a complete request instead of a vague message that needs a callback.

Three elements make this possible: a language model that understands and writes, a knowledge base where it looks for answers, and instructions that define its role (tone, permitted topics, things it must never say).

What makes it more than an answer engine

  • It works within boundaries. A purpose, instructions and a list of sensitive topics it leaves to people
  • It knows when to hand over. When the answer is missing from its documents or the visitor asks, it offers human handover, including the conversation
  • It can take action. Depending on its permissions, it checks a tool (stock levels, a calendar) or creates a request in it, and in KernChat every action is logged
  • Its gaps become visible. Unanswered questions show the team what to add to the documents

Common mistakes

The first is connecting an assistant to a website without reviewing what it will read: it will faithfully repeat an outdated page. The second is letting it make decisions that commit the business (a refund, a firm price, a safety instruction) without boundaries or human handover. The third is never reviewing conversations, even though they reveal what is missing and what needs correcting.

“AI agent” often means an assistant that carries out a sequence of actions on its own; “copilot” means an assistant that helps a team member rather than a customer. The boundaries remain blurred: what matters is what the tool is allowed to do and who checks its answers.

KernChat, the AI assistant platform from KERN-IT, configures these assistants with each organization, using its own documents: see what KernChat does.

Frequently asked questions

Is an AI assistant a chatbot?
The word chatbot covers any conversational program, from button-based scripts to generative systems. AI assistant describes a program that understands unexpected questions, answers from documents and can take action or hand over; in practice, the two terms often overlap.
Does an AI assistant replace a customer service team?
No. It handles questions whose answers are written down somewhere and prepares the others; delicate cases, disputes and decisions stay with people, to whom it passes the conversation.
Are conversations used to train the AI model?
This depends on the model provider and the contract, so check its terms. With KernChat, messages are sent to the model provider for the time needed to generate the answer and are not used by KERN-IT to train a model.
